Problem → Agitate → Solution: names the pain, shows its cost, then offers the fix.

Subject: Quick idea for your company

Hi there, I noticed that many companies like your company struggle with slow, manual processes. Left alone, it quietly holds growth back: slower delivery, frustrated customers and wasted budget. We fix that with our services. The result: you save time and grow faster. Would you be open to a 15-minute call next week to see if this could work for your company? Best,

Follow-up sequence

Day 3: gentle nudge

Subject: Re: Quick idea for your company

Hi there, Just bringing this back to the top of your inbox. If tackling slow, manual processes is on your radar this quarter, I'd be glad to share a few ideas that have worked for similar teams. Would you be open to a 15-minute call next week to see if this could work for your company? Best,

Day 7: polite close

Subject: Should I close your file?

Hi there, I haven't heard back, so I'll assume the timing isn't right. If that changes, just reply to this email and I'll pick it up from there. Wishing you and the team at your company a great month. Best,

  • • Personalise the first line for each prospect.
  • • Keep it under 120 words.
  • • Send from a real name, Tuesday to Thursday mornings work well.
  • • Follow local rules on marketing emails (e.g. UK PECR and GDPR).

How it works

How to write a cold email that gets a reply

Describe what you offer, the problem your prospect probably has and the result you deliver. Add a short proof point, such as a client result, if you have one.

Add your prospect's first name and company, your own details, and choose a call to action: a 15-minute call, a quick reply or a demo.

Pick a subject line, compare the AIDA, PAS and Short versions, and copy the one that fits. Personalise the first line for each prospect, then use the follow-ups if you don't hear back.

FAQ

Common questions

What are AIDA and PAS?

Two classic copywriting structures. AIDA (Attention, Interest, Desire, Action) builds from the prospect's situation to your ask. PAS (Problem, Agitate, Solution) names a pain, shows its cost, then offers the fix.

How long should a cold email be?

Under 120 words. Busy people read on their phones, so one idea, one proof point and one clear ask works best.

How many follow-ups should I send?

Two is a good balance: a gentle nudge after about three days and a polite close after a week. Many replies come from follow-ups.

Is cold emailing legal?

Usually, for business contacts, if you're relevant, honest about who you are and offer an easy opt-out. Rules vary: in the UK, PECR and UK GDPR apply, and EU countries have similar laws. Check the rules for your audience.
