Privacy policy

This policy explains what personal data Dot Technologies collects when you visit dottechnologies.co.uk or contact us, why we use it and the rights you have. We collect very little: there are no analytics or advertising trackers on this website.

Who we are

Dot Technologies ("we", "us") is the controller of the personal data described in this policy. You can contact us about privacy at any time at hello@dottechnologies.co.uk. Our company details are shown on this page.

What we collect and why

  • Enquiries through the contact form: your name, email address, company (optional), the service and budget you select, your message and the language of the page. We use them to reply to you and, if you become a client, to provide our services. Lawful basis: our legitimate interest in responding to enquiries, or steps you ask us to take before entering into a contract.
  • Emails and WhatsApp messages: if you email us or message us on WhatsApp, we receive your contact details and whatever you send. WhatsApp is run by WhatsApp LLC (part of Meta), which processes messages under its own privacy policy. Lawful basis: legitimate interests, or pre-contract steps.
  • Technical data: when you visit the website, our hosting provider processes your IP address, browser details and the pages you request in order to deliver the site and keep it secure. We also use your IP address briefly to stop repeated or automated form submissions; it is held in memory only and not stored. Lawful basis: our legitimate interest in running a secure website.

We do not use analytics or advertising cookies, we do not build profiles of visitors and we never sell personal data.

The free tools

Our calculators, invoice generator and document converters run entirely in your browser. The figures you enter, the invoices you create and the files you convert are not sent to us or stored on our servers. The currency converter fetches exchange rates through our server; no personal data is included in that request.

Cookies and browser storage

  • Language cookie (NEXT_LOCALE): set only when you choose a language with the language switcher, so the site remembers your choice for 12 months. It is strictly necessary for a feature you asked for, so it doesn't require consent.
  • Invoice draft (local storage): the invoice generator saves your draft in your own browser so you don't lose your work. It never leaves your device.
  • WhatsApp greeting (session storage): remembers that you closed the greeting bubble until you close the browser tab.

We do not set any third-party cookies. You can clear cookies and browser storage at any time in your browser settings.

Who we share data with

We use a small number of service providers who process personal data on our instructions and under contract:

  • Vercel Inc. (USA): website hosting and security.
  • Resend (USA): delivers contact form enquiries to our inbox.
  • Cloudflare, Inc. (USA): spam protection on the contact form, when enabled.

We may also share information with professional advisers, or where the law requires it. We never sell personal data or share it for marketing.

International transfers

Some of our providers are based in the United States, so personal data may be transferred outside the UK. When that happens we rely on UK adequacy regulations (including the UK–US data bridge for certified companies) or on the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses, which require the recipient to protect your data to UK standards.

How long we keep data

  • Enquiries that don't lead to work: up to 24 months, then deleted.
  • Client records: for the length of our work together plus six years, to meet UK legal, tax and accounting obligations.
  • Server logs: kept by our hosting provider for a short period, typically days to weeks.

Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict or object to how we use it;
  • receive your data in a portable format;
  • withdraw consent at any time, where we rely on consent.

To use any of these rights, email hello@dottechnologies.co.uk. It's free, and we will reply within one month.

Complaints

If you're unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113. If you live in Nigeria, the Nigeria Data Protection Act 2023 gives you similar rights and you can contact the Nigeria Data Protection Commission. Elsewhere, you can contact your local data protection authority.

Security

The website is served only over encrypted HTTPS connections with modern security headers, and access to enquiries is limited to the people who need it. No method of transmission or storage is completely secure, but we work hard to protect your data.

Children

Our services are for businesses and adults. We don't knowingly collect personal data from children.

Changes to this policy

We may update this policy when our services or the law change. The date at the top shows when it was last updated.
